Answer capsules: writing the paragraph engines can actually quote

A short, self-contained opening that states the answer, the audience and the limit. What it is, how to write one and what it can't do.

Plenty of pages bury the answer under a welcome message, a story and three adjectives. A reader skims past it. A system looking for a passage to quote has to work harder — and may quote someone else.

An answer capsule is the paragraph near the top of a page that answers the page's central question on its own.

#Anatomy

A good capsule is two to four sentences and contains:

  1. The answer in plain words.
  2. The audience or condition it applies to.
  3. The key limit or caveat that makes it honest.
  4. One concrete specific: a number, a supported thing, a named method.

and:

A multi-team approval workflow routes a request through defined stages owned by different teams, records each decision and lets admins set who can approve what. It suits organisations where finance, IT and operations all sign off on the same request. It's more than a small team of five usually needs.

The second can be lifted into an answer without surrounding context and still be correct.

#Where it goes

Directly under the H1, before navigation-like blocks, calls to action and anecdotes. Keep it in the page's HTML, not injected by scripts.

#Then back it up

A capsule makes a claim; the rest of the page should earn it. Add the evidence the capsule promises: a worked example, limits, prerequisites, a comparison table with inclusions and exclusions, dates and sources.

#What it can't do

  • It won't make an engine cite you. It makes your page easier to use if an engine considers it.
  • It can't replace independent corroboration. Claims repeated by third parties carry more weight than claims on your own site alone.
  • It shouldn't overclaim. A capsule that exaggerates is quotable, and also a liability.

#A quick test

Cover everything except the opening paragraph and ask a colleague: "What does this page tell me?" If they can answer in one sentence, you've written a capsule. If they say "it seems to be about… something," keep editing.
